Appointment booking system for businesses and clinics to organise requests

An appointment booking system for businesses and clinics lets customers choose a service, specialist and available slot, then receive a confirmation and reminder. We connect the booking flow to the channels and calendar agreed for the project.

Appointment booking system for businesses and clinics: what the service covers

Reception answers the phone and writes the slot in a notebook. A customer messages on WhatsApp after hours and nobody replies until morning, by which time they may have booked with someone else. The same specialist is booked twice. A client forgets and does not show up, so the time stays empty and you cannot offer it to anyone else.

A booking system takes the request at any hour, blocks clashes and reminds the customer before the appointment.

What a booking system does

The customer books alone

A booking page on your site, or a link sent on WhatsApp. They choose the service, then the specialist if they want one, then a day and hour from open slots only. They add their name, number and a note, and complete the booking from their phone.

Service types and durations

Each service has its length and requirements: a thirty-minute check-up, an hour of therapy, an online consultation. You set a buffer between appointments for preparation and cleaning.

Specialists and resources

Every doctor, trainer or technician has their own working hours and leave. A room or a machine has a schedule too when the appointment needs it. The customer only sees time when both the specialist and the place are free.

Confirmation and reminders

After booking the customer receives a confirmation with the time and location. A day before, and perhaps two hours before, a reminder arrives on WhatsApp or email with a link to reschedule or cancel. Reminders can help customers keep track of appointments; cancellations may make a slot available for another booking.

Payment and deposits

You can ask for a deposit or full payment at booking through a payment gateway, which makes the slot firm. Payment links are covered in payment and shipping integration.

Calendar and team

A daily and weekly calendar per specialist, which can sync with their Google Calendar on a phone. Specialists get a notice for a new booking or a cancellation.

Customer file and visit history

The system keeps each customer's visit history and notes, so reception knows who has come and how often. For clinics, sensitive data sits behind permissions limited to those who need to see it.

Reports

Number of bookings, cancellation and no-show rates, most requested services, peak and quiet hours. You learn when to add or reduce specialists.

Booking through WhatsApp

Most people in our region use WhatsApp more than any other app. So we link booking to a WhatsApp Business channel: the customer writes “I want an appointment”, the automatic reply offers services and open times, and the booking is confirmed in the same system. Details are in WhatsApp booking and reply automation, and in our article WhatsApp booking for clinics.

How it connects to the rest of your systems

A booking creates a customer in the CRM system if none exists, so you can follow up with people who booked once and never returned. It links to invoicing when the service is paid. If your system is Odoo, appointments are part of it: see Odoo implementation. If you need a booking app under your own name, we build it within mobile app development.

Businesses we set up for

  • Clinics, medical and dental centres. A diary per doctor, appointment reminders and a visit history.
  • Salons and beauty centres. Several services in one visit, and staff with different schedules.
  • Workshops and car washes. Slots by technician and bay.
  • Consulting and courses. Online sessions with a meeting link sent automatically.
  • Restaurants and halls. Table or hall booking by party size.

Typical order of work

  1. A call. Your services, specialists, working hours and cancellation policy.
  2. Booking page design with your identity on mobile and desktop, which you approve.
  3. Build on a staging link where you test booking, cancellation and reminders.
  4. WhatsApp and payment links if you ask for them.
  5. Training for reception and specialists through videos.
  6. Move to your site and start with real bookings, then follow-up.

After launch

We follow the first weeks to tune reminder timing and cancellation rules as your customers’ habits show. Later you can add a service, a branch or a session package.

Packages and the written quote

We review what you need, then send a written quote that sets the scope, timeline and deliverables. The written quote fixes the scope and the timeline, and we start after you approve it.

Frequently asked questions

Yes, through the WhatsApp Business API, which needs an account activated with an approved provider. The automatic reply offers open times and confirms the appointment in the system. We review the requirements and options with you.

Yes. The customer sees only time when the specialist and the place are both free, and once a slot is taken it closes for others.

Yes, through a payment gateway that supports your country. We choose the right one with you and set your deposit refund policy as you wish.

We limit access to the people who need it and use encrypted connections. We do not give legal opinions on health-data rules in your country, so review them with your adviser.

Usually not. A booking page on the site and a WhatsApp link are enough in most cases. An app earns its place when customers use it regularly. Read app or website.
