Customer support ticketing system with a clear owner for each request

A customer support ticketing system organises incoming requests with an owner, priority and history. On Odoo, the agreed setup can include email, website or other supported channels.

Customer support ticketing system: what the service covers

One customer writes on the company WhatsApp, another on your page, a third by email. Each employee replies from a personal phone, and colleagues do not know it happened. A complaint sits untouched because everyone assumes someone else has it. A week later the customer asks for news and the employee has no record to check.

A ticket system gives each request a number, an owner and a date, and records every reply.

Tickets from every channel

Messages to your support email become tickets automatically, as do entries from your website form and live chat. WhatsApp conversations link to tickets through the WhatsApp Business API, depending on the provider you pick.

Teams, stages and priorities

You define support teams such as sales, technical and billing. Each team has stages: new, in progress, waiting for customer, solved. Tickets assign round-robin or by specialty. Stars mark priority, and the board shows what is waiting.

Reply and resolution deadlines

Set a first-reply deadline and a resolution deadline by customer type or priority. A ticket changes colour as the deadline nears, and the manager is alerted when it passes. An important customer does not wait unnoticed.

Canned replies and a knowledge base

Saved answers to repeated questions go into a reply in one click. Help articles published on your site let customers find the answer before opening a ticket.

Ratings and reports

When a ticket closes, the customer gets a star-rating request. Reports show ticket volume, reply and resolution time, the most frequent problems, and each agent's performance.

Billing support and spare parts

When support is part of a contract, ticket hours are counted and invoiced. If the ticket needs a part, it is issued from stock against the ticket.

How it connects to the rest of Odoo

The ticket knows the same customer as CRM, so the agent sees purchases, contracts and open invoices. It connects to Inventory when a part must be replaced, to Accounting for billing, and to Project when a problem becomes a work task. Read about the CRM system and project management software.

AI and WhatsApp in support

For the questions that repeat, an AI reply assistant can answer from your company information and hand anything outside it to a person through a ticket. For booking and automatic replies, see WhatsApp automation.

Typical rollout order

  1. List the channels. Where do your customers contact you?
  2. Teams and stages. Who receives what, and the ticket states.
  3. Deadlines and priorities by customer type.
  4. Canned replies from the questions customers repeat.
  5. Channel links. Email first, then the website, then WhatsApp.
  6. A week-long pilot with a small team before rollout.

A ticket's path through the system

A customer writes on WhatsApp that the device they bought does not work. A ticket opens in their name, and the agent sees the warranty and purchase date from the customer file. A canned reply asks for a photo and the ticket moves to waiting for customer. When the photo arrives it returns to in progress and goes to the technician, and a replacement is issued from stock against the ticket. On closing, the customer gets a rating request. This is an illustration of the workflow, not a client story of ours.

Moving data and training the team

We move your customer list and earlier complaints from Excel or an old system if you decide so. See data migration and training. We train the support team on tickets and replies, and the manager on the board and reports.

What you receive

  • A ticket system with teams, stages and deadlines that match your work.
  • Working channel links as agreed.
  • Canned replies and closing templates.
  • A dashboard and reports on reply and resolution time.
  • A handover file and training videos.

After launch

We follow the first weeks to tune deadlines and assignment to the real ticket volume. When you want a step of your own, such as a complaint form with attachments or manager approval for a refund, we build it as a custom module.

What we ask on the first call

Roughly how many support requests reach you each day, through which channels? How many staff reply, and do they have specialties? Do customer contracts commit you to a reply time? Should customers see their ticket status? We build the quote on those answers.

Packages and the written quote

We review what you need, then send a written quote that sets the scope, timeline and deliverables. The written quote fixes the scope and the timeline, and we start after you approve it.

Frequently asked questions

Yes, through the WhatsApp Business API, which needs an account activated with an approved provider. We review the options and requirements with you before agreeing.

No. You can start with Helpdesk and Contacts alone and add CRM and Accounting later.

Through reply deadlines. Late tickets show in a distinct colour, and the report gives the average reply time per agent and per team.

Yes, through the customer portal or a link in the email. They see the status and can add a reply.

Yes. One support mailbox and two staff already gain from tickets, because requests stop getting lost. Channels and teams grow with you.

Stop complaints getting lost between messages

Send the channels your customers use and your support team size, and we reply with a written quote that sets the scope and timeline.
