inventory management software
Inventory and purchasing software for clearer stock records
Inventory and purchasing software on Odoo helps record stock movements, receipts, deliveries and purchase orders. The setup can connect stock records with the sales and accounting processes in scope.
Inventory and purchasing software: what the service covers
A customer orders an item your store shows as available, and the warehouse finds it ran out last week. The yearly count reveals a shortage nobody can date. A supplier’s invoice shows a quantity different from what the storekeeper received. Cash sits locked in slow items while the fast ones run dry.
The cause is usually movement recorded late or in two places. When every receipt, delivery and transfer passes through one system, the balance is current at the moment of movement.
Odoo's inventory and purchasing apps
Products: a clear card for each item
Inventory keeps a name, code, barcode, category, unit of measure, cost and supplier per product. Variants work: a shirt in three colours and four sizes is one product with twelve variants, each with its own balance. Multiple units are supported, so you can buy by the carton and sell by the piece.
Warehouses and locations
You create one warehouse or several, and inside each, locations such as shelf, aisle or cold room. Moving stock between warehouses uses an internal transfer, so the system knows what is in transit and what arrived.
Receiving and delivery by barcode
The Barcode app runs on a handheld scanner or a phone. The worker scans the receipt order, then the items, and the balance updates with fewer typing errors. Delivery works the same way, and the picking list is ordered by shelf position.
Lots, serial numbers and expiry dates
For food, medicine and cosmetics you track lots and expiry dates. For devices and equipment you track a serial number per unit. The system shows which customer received which lot, which makes recalling a faulty batch practical.
Automatic reordering
Set a minimum and a target quantity per item. When the balance drops below the minimum, the system raises a request for quotation to your usual supplier, estimating demand from confirmed orders before stock runs out.
Stock counts and valuation
Count one shelf today and another tomorrow instead of closing the warehouse for a day at year end. Differences are logged with a reason and date. Stock is valued by a method you choose with your accountant, such as weighted average or first in, first out, and the value reaches accounting automatically.
Purchasing: from request for quotation to supplier bill
Purchase sends a request for quotation to several suppliers, turns the chosen one into a purchase order, lets the warehouse receive, then matches the supplier’s bill to the quantity received. It keeps each supplier’s price list and lead times so you can compare.
How inventory connects to the rest of Odoo
A sales order in CRM or Sales reserves the quantity, the delivery deducts it, and the invoice goes out from Accounting at the right cost. A workshop consumes materials in Manufacturing, and a till in Point of Sale deducts from the branch stock. See the full setup in Odoo implementation and how figures reach the books on the accounting page.
Connecting stock to a Salla, Zid or Shopify store
The most common complaint we hear is a store that sells what the warehouse does not have. We connect your store to Odoo so the store reads its balance from the system, store orders arrive as sales orders, and shipping status goes back to the order. You decide whether the store stops selling an item at zero. Details on the integrations page, and what to prepare in our article product data before connecting store and stock.
Typical rollout order
- Clean the item list. Unify names, codes and categories, and delete duplicates before import.
- Warehouses and locations. Build the structure as it exists on the ground.
- Opening balances. A physical count on the start date, imported as the opening balance.
- Purchasing and suppliers. Price lists and reorder limits.
- Barcodes and devices. Print labels and test scanners.
- Store and accounting links where needed.
- A trial week on one warehouse before rolling out to all.
Moving your data and training the team
Your old data is usually an Excel file with scattered columns. We clean it with you, match it to Odoo fields and import a sample for you to review. The data migration and training page explains the steps.
We train the storekeeper on receiving, delivery and counting, and the purchasing officer on requests for quotation and orders, then hand over videos that new staff can use.
After launch
You receive a handover file with settings and permissions, and we follow your first stock count on the system to correct differences. Later you can ask for a report on slow-moving items or a custom module for a process the settings do not cover.
Packages and the written quote
We review what you need, then send a written quote that sets the scope, timeline and deliverables. The written quote fixes the scope and the timeline, and we start after you approve it.
Frequently asked questions
Not always. A phone camera works for a small warehouse, and for heavy volume we suggest a wireless handheld scanner. We review your volume and name the devices before you buy, and you purchase from the supplier you choose.
Yes, per store or per item. You can stop selling at zero stock, or allow pre-orders and show the supply date.
Yes. Each warehouse has its own balance and transfers, with consolidated reports for the whole company or for one branch.
We do a physical count on an agreed date, clean the item codes and import quantities and cost as the opening balance. Then we compare the total value with your old system.
Yes, when we enable automated valuation. A cost entry is created at receipt and delivery, and stock value appears on the balance sheet.
Make your stock balance match what you sell
Send your type of goods, item count and warehouses, and we reply with a written quote that sets the scope and timeline.
