business systems integration

Ecommerce inventory system integration to reduce repeated data entry

Ecommerce inventory system integration links a store with stock or business applications when supported interfaces are available. We review the platforms and data flow first, then agree what can be synchronised.

Ecommerce inventory system integration: what the service covers

An order lands in the store, one employee types it into the accounting program, another types it into the shipping sheet, a third adjusts the balance in the warehouse. Each copy can carry a mistake. You sell an item that ran out, issue an invoice at an old price, and keep a customer waiting who paid two hours ago.

Integration gives you one source. The order is entered once, and the systems pass it along and update everything related to it.

What we connect, and which way the data flows

Store to inventory

The store reads its stock from the inventory system, so an item never shows as available when it is not. Balances update on every sale, receipt or transfer. You choose what happens at zero: stop selling or take a pre-order. The stock side is covered in inventory and purchasing software.

Store to accounting

Each paid order becomes an invoice and a journal entry, with tax and payment method recorded. A return issues a credit note. Your accountant sees store sales in the books without re-entry. See accounting software.

Website to CRM

The enquiry form on your site creates a sales opportunity in CRM with its source, assigns it to a rep, and alerts them by WhatsApp or email. No customer gets lost in an inbox that nobody opens. Read about the CRM system.

WhatsApp

Order confirmations, tracking numbers and appointment reminders reach the customer from the system. For automatic replies and booking, see WhatsApp automation.

Payment and shipping

Payment gateways and couriers pass order status both ways: payment confirms the order, and the waybill and tracking number return to it. Details on payment and shipping integration.

Email and team tools

Our work for Al Ola, linking its site with Zoho Mail, is an example: forms protected against spam and duplicate submissions, delivered to the company mailbox. The same logic connects forms to Google Sheets or task tools.

How we build the link

  • Platform APIs. Salla, Zid, Shopify and WooCommerce expose APIs and webhooks that tell our system the moment an order is placed or a status changes.
  • Odoo’s API. Odoo receives and sends data through its standard interfaces, and we add logic specific to your business on top where needed.
  • Middleware tools. When two common systems need to talk, we use tools such as Make or n8n for speed and little code. When you need finer control, we write custom code.
  • Scheduled files. If a legacy system has no API, we swap a CSV file on a set schedule.

What happens when something fails

A link can break because an access key expired or the other service went down. We build a log for every transfer, automatic retries, and an alert when an order fails, so you learn what failed and why. Access keys live in protected settings, not in exposed files.

Typical order of work

  1. Data map. Which two systems, which fields move, in which direction and how often.
  2. Data cleaning. Unify item codes and customer names before linking, because mismatches show up here first. Read product data before connecting.
  3. Build on test copies of the store and the system, without touching the live ones.
  4. Scenario tests. A normal order, a cancelled one, a return, a sold-out item, a failed payment.
  5. Go live on a small batch, then widen.
  6. Follow-up. We review the error log in the first days.

Integration with Odoo and between teams

If your system is Odoo, linking is simpler because its apps share one database. The store, courier and payment gateway sit outside it, and those we connect. See Odoo implementation. For internal steps between departments, such as approval, then notification, then task, see workflow automation.

After launch

We hand over a written description of what moves between each pair of systems and where to edit it, and show you how to read the error log. When a platform changes its API or you replace a system, we review the link.

Packages and the written quote

We review what you need, then send a written quote that sets the scope, timeline and deliverables. The written quote fixes the scope and the timeline, and we start after you approve it.

Frequently asked questions

Yes. Both platforms offer APIs and webhooks, and Odoo receives data through its own interface. We agree with you what moves: orders, balances, customers. Name your platform in the inquiry so we can review it.

Usually yes, through scheduled file exchange, though updates are not instant. We explain the difference before you agree.

The system logs every transfer and retries automatically, and you get an alert when something fails. After the cause is fixed, pending operations run again without losing an order.

That depends on both platforms. Instant notifications allow updates within seconds, and some cases run on a schedule every few minutes. We settle this for each link.

We move it over encrypted connections, limit access keys to what is required, and never ask for your personal account passwords. We also review with you what should not be transferred at all.

Enter the order once and let the systems do the rest
