Project and task management software for team work

Project and task management software on Odoo can organise projects, task owners, stages and deadlines. Timesheets, reports and links with other apps are included when they fit the agreed workflow.

Project and task management software: what the service covers

The manager asks how a project is going and the employee scrolls through chats to answer. A task the client asked for on Sunday has no known owner. The project ends and actual hours turn out to be double the estimate, with no record of why. After delivery, the invoice goes out late because nobody told accounting.

Project software gives every task an owner, a date and a status, and gathers hours and cost in one place.

Odoo's project apps

Projects and tasks

Project creates one project per client or contract, with tasks and subtasks that have an owner, deadline and priority. The team sees tasks on a board with columns such as new, in progress, client review and done. Cards move by drag and drop, with attachments and notes on each task.

Stages that fit your work

A website project has different stages than a factory installation. We define your stages and templates, so every new project starts with its usual tasks ready instead of a blank page.

Timesheets

Timesheets lets each employee log time on a task from a computer, phone or timer. You compare estimated and actual hours and learn which kind of project eats more time than you price for.

Planning and resources

In the Enterprise edition, Planning shows who is busy and who is free next week, so you assign work without overloading one person while another waits. Task dependencies stop a task from starting before the one it relies on is finished.

Invoicing from the project

Invoice a fixed price when a milestone is finished, by actual hours, or by materials used. The system ties the invoice to the project, so each project shows its real profit.

Client portal

Give the client an account where they see the project and the tasks you share, approve a stage or leave a comment, instead of scattered messages. You decide what appears.

How it connects to the rest of Odoo

An accepted quote in Sales or CRM creates the project with its tasks. Hours come from Employees and flow into an invoice in Accounting. If the client asks for support after delivery, requests move to the helpdesk system. For the books, see accounting software, and for customers and sales the CRM system.

Project types we set up

  • Agency or service firm. One project per client, recurring monthly tasks, and hours you bill.
  • Contracting and installation. Site stages, inspection, material supply, handover.
  • Software development. Short work cycles, task lists, review.
  • Made-to-order manufacturing. A project per special order, tied to stock and production. See manufacturing software.

Typical rollout order

  1. Understand your project cycle as it runs, and where it stalls.
  2. Stages and templates. Task columns and templates for repeat projects.
  3. Team and permissions. Who sees all projects, who sees only theirs, and what the client sees.
  4. Timesheets and invoicing. The billing types that suit your contracts.
  5. A real pilot project run in the system with your team.
  6. Moving live projects from Excel or the previous tool.

A project moving through the system

A curtain and upholstery installer accepts a quote. Accepting it creates a project with its tasks: site visit, measurements, tailoring, supply, installation, handover. Each task goes to an employee with a date. The fitter logs installation hours from a phone, uploads handover photos, and the client approves the last stage in the portal. The final invoice comes from the project, which closes and shows its actual profit. This is an illustration of how the system works, not a client story of ours.

Moving data and training the team

We move current projects and their tasks from Excel or an earlier tool once you decide what is worth carrying over. See data migration and training. We train project managers on planning and reports, staff on logging hours and updating status, and hand over videos.

What you receive

  • Projects, stages and templates matching your work.
  • Permissions by role: manager, coordinator, employee, client.
  • Progress, hours and project profitability reports.
  • Links to quotes and invoices.
  • A handover file and training videos.

After launch

We follow the first weeks and adjust stages when the team needs another one or a different report. Later we can build a custom module for a process only you have: see Odoo module development. For repeated steps across departments, see workflow automation.

What we ask on the first call

How many projects run in parallel? Do you price at a fixed rate or by the hour? Does your team sit in one office or on outside sites? Does the client need to see progress? Which tool do you use today, and what annoys you about it? Your answers set the stages, permissions and billing we write into the quote.

Packages and the written quote

We review what you need, then send a written quote that sets the scope, timeline and deliverables. The written quote fixes the scope and the timeline, and we start after you approve it.
