accounting software implementation
Accounting software for businesses with invoices linked to sales and stock
Accounting software for businesses on Odoo can link customer invoices, supplier bills, payments and reports with sales and inventory. We configure the required apps and opening balances to fit the agreed workflow.
Accounting software for businesses: what the service covers
Sales go into one program, stock sits in a spreadsheet, and the accountant retypes invoices into a third. The manager asks for a customer’s balance and the answer takes two days. Overdue invoices pile up and nobody chases them. The month closes with bank differences still unchecked.
When accounting lives in the same system that issues the invoice and receives the goods, each entry is written once, at its source.
Odoo Accounting, function by function
Chart of accounts and base settings
We start with a chart of accounts built for your trade, then set taxes, currencies, the fiscal year and journals. You agree account names and numbers with your accountant, and we add cost centres if you track profit by project or branch.
Customer invoices and collections
An invoice comes straight from a sales order in one click, on a template carrying your logo and company details in Arabic and English, and goes out by email from the system. Partial payments are tracked, and an ageing report shows who is late and by how much. The system sends reminders to late payers on rules you set.
Vendor bills and payments
You enter a vendor bill by hand or from a purchase order whose goods arrived, so quantity and price are matched before you pay. Payments follow due dates, and you can pay several vendors in one batch.
Cash and bank
Import a bank statement from a file and Odoo suggests a match for each line against an invoice or payment. You confirm the matches and see differences at once. Cash boxes each have their own account.
Financial reports
Profit and loss, balance sheet, trial balance, general ledger and ageing reports, filtered by period, branch or cost centre, exportable to Excel. We also build summary dashboards for what the owner reviews every week.
Extra functions
Fixed assets with automatic depreciation schedules, Budgets to compare plan with actual, Expenses to reimburse staff claims, and multi-currency if you trade in more than one. We switch on only what you need.
How accounting connects to the rest of the company
This is where the value sits. A sales order from CRM becomes an invoice. Receiving goods in Inventory posts the cost entry by itself. A cashier sale in Point of Sale reaches the journal. HR payroll lands as a single entry. Your online store can feed orders in as invoices too. The integrations page covers the links.
To see the whole Odoo setup, read Odoo implementation. For stock and buying, see inventory software.
Reports and entries specific to you: custom accounting work
You may need a profitability report by customer or sales rep, an entry that spreads a shared cost across branches in fixed percentages, or a special statement of account. Some of this is a setting, and the rest we program as a custom report or module. See Odoo module development.
Typical rollout order
- Foundations. Chart of accounts, taxes, currencies and fiscal year, agreed with your accountant.
- Sales and invoices. Invoice templates, payment terms, collection routines.
- Purchasing and vendors. Vendor bills and receipt matching.
- Bank and cash. Statements and reconciliation.
- Opening balances. We load customer, vendor, bank and stock balances as of your start date.
- Reports. We build your usual reports and check them with your accountant against a past month.
- Parallel run. One month on both systems to compare results before the old one stops.
Moving your balances and training your team
The hardest part of changing accounting software is the old balances. We take the trial balance and customer and vendor statements from your accountant, import them as an opening entry, and match the totals to the old system before go-live. The service is described under data migration and staff training.
We train the accountant on entries, reconciliation and closing, and sales staff on issuing an invoice, then hand over videos the team can return to.
After launch
You receive a handover file covering settings, the chart of accounts and permissions. Most teams want a review after the first month-end close, and we follow up on what appears. Later you can ask for report changes or add another app as the company grows.
Packages and the written quote
We review what you need, then send a written quote that sets the scope, timeline and deliverables. The written quote fixes the scope and the timeline, and we start after you approve it.
