AI customer support assistant
AI customer service assistant based on your approved company information
An AI customer service assistant can answer common questions from company information you approve, then pass requests outside its defined scope to a staff member. We agree the sources and hand-off rules before setup.
AI customer service assistant: what the service covers
A customer asks: do you deliver to New Cairo? How many days for returns? Does the service include installation? The answers exist in a file, a page or a colleague’s head. Every hour your team spends repeating them is an hour not spent selling.
The assistant reads those sources and replies in a clear sentence in the customer’s language, Arabic or English, at any hour.
How it differs from a button bot
A traditional bot shows a fixed menu, and when the customer types something outside it, it stalls. The assistant understands free wording: “Do you deliver to Assiut?” and “Is shipping to Assiut available?” are one question to it.
Free wording needs limits, though. So we do not let the assistant answer from general knowledge. We restrict it to your sources and set what it refuses to answer.
How we build it on your information
- We gather approved sources: website pages, the service list, shipping and returns policies, frequent customer questions, and any file you want it to rely on.
- We clean them. We remove what is outdated or contradictory. If two documents give different return policies, the assistant answers with the one you choose.
- We connect the assistant so it searches those sources at question time and writes the answer from them.
- We set the boundaries. What must not be answered automatically, such as special prices and legal complaints, goes to a person.
- We test with real questions. We collect questions from WhatsApp and email, try the assistant on them and fix mistakes before any customer sees it.
What it answers, and what it does not
It answers: working hours, service details, ordering steps, shipping and returns policies, how to get started and which documents are needed.
It does not answer alone: contract details, a special price for a named customer, a sensitive complaint, or any question with no support in your sources. It tells the customer it will pass the matter on, and a staff member receives the request with the customer’s name and a summary of what was asked.
Where it works
- Your website: a chat window on the pages where visitors usually ask, such as services, pricing enquiries and contact.
- WhatsApp: through your business number, alongside a booking bot if you want bookings.
- Inside the company: an assistant for staff that answers from the procedures manual, so they stop asking colleagues or the manager about every step.
The channels in your project are listed in the written quote.
An example from our work: Haidi
In the GTP textile printing factory system we built an AI assistant called Haidi as part of the factory system. The full story is in the GTP factory system case study. That was an industrial project; yours would be built on your sources and your limits.
Privacy and data
We put only what you approve into the assistant. We do not load sensitive customer data into the knowledge source. We agree with you who sees the chat history and how long it is kept. If your data type carries particular obligations, we review them before connecting anything.
What it improves in your business
- Fewer repeat questions reach your team.
- Instant replies in the evening and on holidays.
- The customer who would have left without asking gets an answer.
- Your team sees what customers really ask from the chat log, and improves the site and the service.
We do not promise specific figures, because the effect depends on your volume of questions and the quality of your sources.
After launch
We review chats in the first weeks: unanswered questions, replies that need editing, missing sources. We add and correct, then show you how to update the sources when your policies change. Accuracy continues to depend on how you keep your documents current.
Who this suits
- A service company answering the same questions every day.
- A store that wants shipping, returns and sizing answered without a dedicated employee.
- A company with a lot of information spread across files that new staff struggle to learn.
- A factory or large company that wants an internal procedures assistant.
The written quote
The written quote names the sources we connect, the channels, the answering limits, and the training and review after launch.
Frequently asked questions
We reduce that by restricting it to your sources and telling it to pass to a person when it finds no support. No AI system removes error completely, so we test with real questions and review chats after launch.
It understands varied Arabic phrasing and answers in simple standard Arabic or in English, depending on the question's language. We tune the style to match your company's tone.
No. It takes the repeat questions and leaves your team the cases that need judgement, empathy or a decision. Each handed-over chat comes with a summary so staff do not start from zero.
You do. The sources are your documents, the conversations belong to your company, and we agree with you who can read them.
It depends on the amount of source material, the channels and the number of tests. We state it in the written quote after the call.
