How does WhatsApp booking work for a clinic?
WhatsApp booking for clinics runs as a short chat: the patient picks a service and a doctor, chooses a free slot from your calendar, receives a confirmation and gets a reminder before the visit. It runs on the WhatsApp Business API connected to a booking calendar, with a handover to reception for special cases.
The problem it solves
Reception answers the phone and WhatsApp between patients. A message arrives at 9 pm asking for an appointment tomorrow. Nobody replies until morning, and by then the patient has booked with another clinic. Another patient forgets, the chair stays empty and the doctor waits. Two staff members offer the same slot on different channels.
A bot works beside reception. It answers instantly at any hour, offers only free slots and sends reminders, so your staff give their time to the patients in front of them.
The flow, step by step
| Step | What the patient sees | What happens behind it |
|---|---|---|
| 1. Greeting | Welcome message with buttons: Book, Reschedule, Opening hours, Talk to reception | Opens a conversation, logs the source |
| 2. Service | A list: general consultation, dental, follow-up and so on | Filters the doctors who offer it |
| 3. Doctor | Choose a doctor or “first available” | Reads the doctor’s schedule |
| 4. Slot | Three to five free times in the coming days | Pulls open slots from the calendar |
| 5. Details | Name, phone, returning-patient flag | Creates or matches a patient record |
| 6. Confirmation | Date, time, doctor, address and map link | Holds the slot and writes it to the calendar |
| 7. Reminder | A message 24 hours and 2 hours before | Sends an approved template |
| 8. Change | Buttons: Confirm, Reschedule, Cancel | Updates the calendar and frees the slot |
| 9. After the visit | A thank-you and a link to review the clinic | Prompts a Google review |
Keep the conversation under six taps. Every extra question loses patients.
WhatsApp Business app or API?
Many clinics start with the free WhatsApp Business app. It offers a business profile, quick replies, labels and an away message. It cannot read a calendar or send reminders on its own, and several staff share one phone.
The WhatsApp Business API is what makes automation possible. It connects through a provider to your system, lets several staff reply from a shared inbox, supports buttons and lists, and sends template messages. Two rules matter:
- The 24-hour window. Free-form replies are allowed within 24 hours of the patient’s last message.
- Templates. Outside that window you may only send pre-approved templates, which is how reminders work. Meta reviews each template.
Patients must also agree to receive messages from you. A booking request starts the conversation, and you should say plainly that reminders will follow.
Privacy rules for patient data
Health information is sensitive. Settle these rules before building:
- Never send diagnoses, test results or prescriptions through the bot. Direct patients to call or visit.
- Say what you store and why, in the first message or on your site’s privacy page.
- Limit staff access to the conversations they need.
- Agree retention: how long chats and records are kept, and who may delete them.
- Check local health-data rules with your adviser, since they differ by country.
Message samples in a clinic's voice
Write them in your clinic’s voice: short, polite, with no medical jargon.
Design choices that decide whether patients finish
- Buttons and lists, not free text. Patients tap, and typing mistakes disappear.
- Arabic first, English second, with a language choice in the greeting if you serve both.
- Show the next free slot instead of a long calendar.
- Block double booking with a short hold while the patient confirms.
- Respect doctor schedules: days off, breaks, procedure lengths and buffer time between visits.
- Offer a human. A “talk to reception” button should work during opening hours and leave a note after hours.
Reminders that cut empty chairs
A reminder 24 hours ahead leaves time to reschedule. A second one, 2 hours ahead, helps the patient arrive. Add confirm and cancel buttons, so a cancelled slot returns to the calendar and can be offered to someone else. Track confirmed, cancelled and missed appointments each month. We promise no particular drop in no-shows, since it depends on the clinic and its patients.
Connecting to the systems you already use
Slots must come from one calendar, or double bookings return. The options:
- A booking system we build or configure for your clinic. See booking systems.
- Your existing clinic software, linked by API or export if it supports one.
- Odoo, if you already run your business there, so appointments and CRM sit in one place.
The project scope describes each connection. See integrations.
After the visit: reviews and follow-up
A thank-you message with a link to your Google review page turns satisfied patients into visible reputation. Keep the request short and send it once. Your Google Business Profile then shows hours, services and photos to people searching nearby. For people who ask questions but do not book, log them in a CRM and follow up, as in our guide to organising customer follow-up.
A checklist before you build
- List services, doctors, session lengths and opening hours.
- Decide booking rules: how far ahead, cancellation notice, same-day slots.
- Write the greeting, confirmation and reminder in your clinic’s voice.
- Choose the calendar that will be the single source of slots.
- Decide who answers handover requests and when.
- Write the privacy notice and the list of data you collect.
- Plan a test week with staff acting as patients.
- Decide the weekly review: bookings, drop-offs, handovers.
What the project looks like with us
We map your services and schedules, write the conversation flow with you, connect the calendar, submit the templates for approval, test with your staff and train reception on the shared inbox. The written quote fixes scope and timeline. See WhatsApp automation.
